Appointment Booking & Cancellation Policy
At Beyond Beauty Group Ltd, we pride ourselves on delivering the highest standard of treatments and customer care. To ensure fairness for all clients and to protect our team’s time, we have implemented the following Appointment Booking and Cancellation Policy. By booking an appointment with us, you are agreeing to the terms outlined below.
1. Deposits
All appointments require a non-refundable deposit at the time of booking.
Deposits are taken to secure your appointment slot and will be deducted from the final balance of your treatment on the day of your visit.
If you choose to cancel your appointment, deposits are strictly non-refundable under any circumstances.
In some cases, deposits may be transferred to a rescheduled appointment, but this is only if more than 48 hours’ notice is given (see Section 2).
2. Cancellations and Rescheduling
We require a minimum of 48 hours’ notice to cancel or reschedule an appointment.
Notice must be provided via one of our official communication channels (telephone, email, or our online booking system). Messages sent via social media (e.g., Instagram or Facebook DMs) are not guaranteed to be seen in time and will not be accepted as valid notice.
If you provide more than 48 hours’ notice, your deposit may be transferred once to a new appointment within 3 months of the original booking.
If less than 48 hours’ notice is given, the deposit will be forfeited, and we reserve the right to charge the full treatment cost.
3. Late Cancellations & No-Shows
Cancellations made within 48 hours of your scheduled appointment will result in the full appointment fee being charged.
Failure to attend (“no-show”) without any notice will also result in the full treatment fee being charged.
Clients who repeatedly cancel last minute or fail to attend appointments may be asked to pay in full at the time of booking for future appointments or may be refused future bookings altogether.
4. Running Late for Your Appointment
We kindly ask clients to arrive promptly for their scheduled time.
If you are more than 10 minutes late, we may need to shorten or adjust your treatment to avoid impacting other clients’ appointments.
If you are more than 15 minutes late, we reserve the right to cancel your appointment entirely. In this case, your deposit will be forfeited, and the remaining balance of the treatment may still be charged.
5. Appointment Reminders
As a courtesy, we send appointment reminders via text/email in advance of your booking.
However, it is your responsibility to remember your appointment date and time. Failure to receive a reminder does not exempt you from the terms of this policy.
6. Group Bookings / Long Appointments
For appointments lasting over 2 hours or for multiple treatments booked together, we may request a higher deposit amount.
Cancellations or reschedules for these longer bookings must also follow the 48-hour policy; otherwise, the full cost will be charged.
7. Medical or Exceptional Circumstances
We understand that emergencies can happen. In the event of serious illness, medical emergency, or other exceptional circumstances, please contact us as soon as possible.
While deposits remain non-refundable, we may consider transferring them to a future booking at our discretion. Proof of circumstance (e.g., medical note) may be requested.
8. Policy Agreement
By booking an appointment with Beyond Beauty Group Ltd, you are confirming that you have read, understood, and agreed to this Cancellation Policy.
We appreciate your cooperation and understanding. This policy ensures that our small business can continue to operate efficiently and that appointment availability is managed fairly for all clients.
